The 7 a.m. window is gold; what sped me up was adding a ‘Unit Quick Facts’ file to each unit in AppFolio (shutoff location, filter size, appliance models, preferred vendor) and checking it during ‘7 a.m. maintenance triage’ to decide parts before dispatch. One thing that sped me up was adding an ‘Access Notes’ custom field in AppFolio and pulling it into an SMS template so the first reply includes gate/lockbox and pet info — way fewer call-backs and less morning whack‑a‑mole. I set a 6:55 a.m. AppFolio email report of new work orders from the last 24 hours, sorted by a custom ‘Damage Risk’ field (Water leak/Power/No heat), so 7:00 is a quick pre‑flight instead of a scramble. Make ‘Shutoff confirmed?’ a required intake field and surface the ‘No’ cases at the top — boring, but it saves floods. @michael6214’s meetup tip is clutch; if you’ve got Smart Maintenance on, route water/electrical to notify you overnight so you’re not double‑touching in the morning.
