In a 212-home HOA I manage, we’re tightening uniform enforcement and I need software that documents a clean chain from courtesy notice to board hearing and fines — date-stamped photos, owner comms, and a simple escalation workflow. If you’ve used SmartWebs or Vantaca, did it make board packets consistent and ready 72 hours before hearings without me babysitting the process?

In Vantaca, I tied the “Send to Hearing” action item to a scheduled Hearing Packet report that emails the board 96 hours ahead; the only caveat is making photos a required attachment before escalation or the packet comes out thin. SmartWebs can do it with Bulk PDF Export, but we still had to click it the day before — want my merge fields?

SmartWebs handled this for our 180-home HOA by scheduling the Inspections > Violations flow to auto-run a ‘Hearing Packet’ merge 96 hours out — set-it-and-forget-it, crockpot style — and it pulls date-stamped photos and owner comms into a single PDF to the board folder. Small caveat: I had to add a merge field for prior variances so packets didn’t miss context. @hnguyen74, do you lock edits after the packet generation to keep late uploads from resetting the clock?

On Vantaca, I set a rule so when a violation hits Final Notice it drops into a Hearing Agenda queue and runs a saved report set bundling the ‘date-stamped photos’ and owner comms, then auto-emails a PDF to directors three days out; just lock the templates so no one tweaks wording mid-cycle. Do you need ARC cases to follow a different escalation? It’s cruise control.
