We finally got vendor scorecards to stick by adding a simple ‘48-hour acknowledgment’ SLA and reviewing it first on the Monday agenda; if a vendor misses it twice in a month, we pause non-emergency work with them for two weeks — helped tenant comms during maintenance delays without adding any tool cost… Small caveat: for niche trades (elevator, chimney), we stretch the window to 72 hours.
Quick example: we tightened vendor scorecards by requiring a time-stamped “before/after photo” upload via a simple Google Form by 6 pm same day; if it’s missing, the score auto-drops and AppFolio triggers a tenant update, which cut our maintenance-delay emails noticeably. It works well for Monday agendas, but single‑truck vendors struggled, so we let them text photos to a Twilio number that forwards into the form.
Small tweak that stuck for us: we set up a Twilio number where techs text “on site” and “done” with the WO by 10 a.m./6 p.m.; Zapier drops it into Airtable and we skim the misses in the first 3 minutes of Monday’s agenda. It cut maintenance delay confusion, but if SMS is overkill for your vendors, @Maya, a simple scheduled email reminder does 80% of the job.
